Bookkeeping vs accounting at a glance
| Question | Bookkeeping | Accounting |
|---|---|---|
| Main task | Maintain complete, organised transaction records | Review and interpret the financial position |
| Typical work | Record sales and expenses, maintain ledgers, reconcile accounts | Review adjustments, prepare statements, analyse results |
| Working inputs | Invoices, receipts, statements and transaction feeds | Ledgers, reconciliations and supporting schedules |
| Useful output | Updated books and a clear list of unresolved items | Reviewed reports and explanations of material movements |
| Typical buyer question | Are our records complete and current? | What do the numbers mean for our business? |
These are practical distinctions rather than fixed job boundaries. A senior bookkeeper may prepare reports, and an accountant may also maintain the books. Agree the actual scope and review responsibility instead of assuming a title includes every task.
How transaction data becomes accounting information
Consider a supplier bill. Bookkeeping captures the invoice, supplier, amount and due date, attaches the document and records the approved expense. The payment is then matched to the bill and reconciled with the bank.
Accounting review asks whether the expense belongs in the period, whether the classification is appropriate and how it affects the financial statements. A large annual subscription, for example, may require a treatment that differs from simply recording the bank payment as a single month’s expense.
The example shows why both layers matter. Perfectly typed records can still use the wrong accounting treatment. A well-designed report can still be misleading if invoices are missing.
Signs your main gap is bookkeeping
Look for bank accounts that have not been reconciled, uncategorised transactions, missing receipts, unpaid customer invoices with unclear status or a ledger several months behind. These are record-maintenance problems that make later analysis difficult.
Begin by establishing the last completed period and the condition of the opening balances. A bookkeeping cleanup may need a separate scope before ongoing work starts. Otherwise a monthly provider can inherit unresolved history without anyone agreeing who will fix it.
For current books, recurring bookkeeping support should specify the accounts covered, document collection process, reconciliation schedule and questions that require your response.
In QuickBooks Online, a changed beginning balance may indicate a previously reconciled transaction was edited, deleted or moved. Intuit’s beginning-balance troubleshooting guide explains how to investigate. Keep this separate from reviewing new transactions; forcing the difference into a current expense can hide the underlying problem.
Signs you need accounting review or reporting support
Your books may be up to date while the reports still do not help you make decisions. Perhaps margins move without explanation, balance-sheet accounts contain old items or different departments use conflicting figures. These issues need review of the accounting treatment and reporting process.
Discuss the reports you need, who uses them and what decisions they support. A lender pack, management dashboard and year-end preparation package serve different purposes. Financial reporting support can be scoped around the schedules and review needed for those outputs.
Tax advice, statutory filings, audit opinions and specialist accounting judgments may require appropriately qualified professionals. Include those needs explicitly in the selection conversation rather than treating them as automatic parts of a bookkeeping package.
Set up a workable handoff between the two
- Agree the rules. Maintain a chart of accounts, entity list and documented treatment for recurring transactions.
- Keep the evidence. Link records to invoices, receipts, bank statements and other supporting documents.
- Reconcile before reporting. Compare ledger balances with independent records and identify unresolved differences.
- Separate questions from completed work. Keep an exception list with a clear owner.
- Review and lock the period. Document approved changes and the status of the close.
Software such as QuickBooks or Xero can hold the records and produce reports. The system still needs correct inputs, appropriate settings and someone responsible for reviewing the output.
Choose the support that solves the current problem
If the records are incomplete, start there. If the records are reliable but reporting is unclear, focus on review and analysis. If both are happening, define the sequence so the new team does not promise useful reporting before the foundation is ready.
A useful first conversation covers your current software, last reconciled month, number of entities and the reports you rely on. Our accounting services page groups these workloads so you can choose an appropriate starting point.
Common questions
Is bookkeeping the same as accounting?
No. Bookkeeping focuses on recording and organising transactions; accounting includes reviewing and interpreting that information. The duties can overlap in practice.
Do I need both a bookkeeper and an accountant?
You need both sets of work covered, but not necessarily two separate full-time people. The right arrangement depends on transaction volume, complexity and required review.
Does accounting software replace a bookkeeper?
Software can import transactions and apply rules, but someone still needs to check records, resolve exceptions, reconcile accounts and maintain the supporting evidence.
